This policy explains what personal information Back To Life Club collects, why, and what your rights are. I've kept it as plain as I can. If anything isn't clear, email me at [email protected].
Who I am
Back To Life Club is a back pain coaching business run by Ross Thornton, based in Burgess Hill, West Sussex, UK. I'm responsible for your personal information (the "data controller" under UK data protection law).
What I collect
- When you download a guide or sign up: your first name and email address.
- When you book a call: your name, email, phone number and anything you tell me about your back and what you want help with.
- If you become a client: health and lifestyle information you give me (such as a health questionnaire, your pain history, goals, training logs and check-ins), and records of our sessions and messages.
- Payments: handled by a payment provider. I see that you've paid, but I never see or store your full card details.
- Website use: basic technical information such as pages visited and whether emails were opened, collected by the website and email software.
Why I use it
- To send you what you asked for, such as the free guide, and to follow up with occasional emails about back pain and my coaching. (Legal basis: your consent and my legitimate interest in running my business.)
- To arrange and hold calls with you. (Legitimate interest / taking steps before a contract.)
- To coach you safely and effectively if you become a client. (Contract. For health information, your explicit consent.)
- To keep proper business, insurance and tax records. (Legal obligation.)
I don't sell your information, and I don't use it for automated decisions about you.
Health information
Information about your health is treated as "special category" data. I only collect it when you choose to give it to me for coaching, I ask for your consent first, and only I have access to it. You can withdraw consent at any time, although I may not be able to keep coaching you safely without it.
Who else handles your information
I use a small number of trusted services to run the business. They only process your information on my instructions:
- My customer management and email system (HighLevel / LeadConnector), which stores contact details, bookings and email history and sends my emails.
- My coaching app (Trainerize), which holds client programmes, training logs and check-ins.
- My payment provider, video calling and business email services.
Some of these providers store data outside the UK, including in the United States. Where that happens, they use legally recognised safeguards (such as the UK International Data Transfer Agreement or standard contractual clauses) to protect it.
How long I keep it
- If you only signed up for emails: until you unsubscribe, or after two years without any contact.
- If you were a client: up to seven years after our coaching ends, for insurance and legal reasons, and then deleted.
Emails and unsubscribing
Every email I send has an unsubscribe link. Click it, or just reply and ask, and I'll stop.
Your rights
You have the right to:
- ask for a copy of the information I hold about you
- ask me to correct it
- ask me to delete it
- object to, or ask me to limit, how I use it
- ask for your information in a portable format
- withdraw your consent at any time
Email [email protected] and I'll respond within one month.
Complaints
If you're unhappy with how I've handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes
If I change this policy, I'll update the date at the top of this page.
